Release of enaio® version 12.0: new AI components for your ECM

Berlin, Germany, 19 December 2025 – With the release of enaio® 12.0, OPTIMAL SYSTEMS is once again presenting a large number of new components, enhancements, and optimizations for enaio®, its enterprise content management system. A special highlight is the new AI component, enaio® lumee, which will enable users to use a chat prompt giving them fast, direct access to the knowledge in their enaio® document archive. Users can now simply chat with their documents and gain valuable insights in seconds, instead of searching for information for a long time. Whether summarizing reports, comparing contract versions, or clarifying specific technical questions: enaio® lumee provides precise answers, including direct links to the relevant sources. The AI only accesses approved content, thanks to full integration into the enaio® permissions system, ensuring maximum security, high speed, and an intuitive, modern user experience.

Process automation driven by AI

The AI component enaio® kairos expands the ECM with powerful features for intelligent classification, automated indexing, and smart filing scenarios, which can be flexibly deployed as SaaS. The AI models trained together with customers precisely recognize document classes and metadata, require only a few training documents. This allows users to remain in control mode at all times while benefiting from maximum efficiency.

Seamless data transfer

enaio® classify-pro ensures smooth, automated data transfer between the enaio® classify-pro cloud and enaio® – both for scanned invoices and for modern e-invoice formats such as XRechnung and ZUGFeRD. Attributes and invoice data are transferred directly to the import directory of enaio® classify-pro, including a PDF view document for XRechnung files. The integration of ERP master data further increases the detection quality. Outgoing e-invoices can now also be generated automatically and filed back in enaio® via eConnect. It results in significantly accelerated processes, less manual effort, and a seamless connection to national and international e-invoice portals.

Powerful interface

Whether from enaio® capture-pro, via enaio® capture-iis with automatic folder monitoring, or for further processes such as enaio® kairos, enaio® classify-pro, CSV mailbox distribution or archiving via TR-RESISCAN: The enaio® capture-transfer-module seamlessly transfers scanned documents to the DMS, significantly reducing complexity, configuration effort, and sources of error. Content can be classified and indexed immediately thanks to a direct AI connection, while multitenancy and transition scenarios are also handled with ease. Standardized output formats such as searchable PDFs and a fully automated capture process also ensure noticeable time savings and modern, consistent document processing.

Innovations for web administration

The upcoming release means that the enaio® web administration will receive comprehensive enhancements for more transparency, ease of use, and accessibility in workflow management. Numerous features of the previous desktop tool have been transferred to the web version and supplemented with modern innovations. For example, the updated enaio® administrator-for-workflow offers an interface that is compliant with Germany’s Accessibility in Information Technology Ordinance (BITV), including keyboard control, and customizable display options.

More brawn for our document sharing tool

enaio® coLab, the document sharing platform, expands its list of features and makes collaboration with internal teams and external partners even easier and more efficient. At the heart of the update is the modern enaio® coLab dashlet, which is now directly integrated into enaio® and enables complete room management without having to switch to the client. In addition, the new quick access ensures that external partners can be securely invited, even if they do not have a regular user account. All they need is an e-mail link and a one-time password.
