Release of enaio® Version 11.10: more integration, more flexibility, more security

Berlin, Germany, 2 October 2024 – OPTIMAL SYSTEMS presents a comprehensive update for enaio®, the company’s document management system. Version 11.10 offers numerous improvements and new features to further increase efficiency and user-friendliness. In focus: the relaunch of our tried-and-tested document sharing tool, a new add-on for financial accounting, enhanced security features for enaio®, and much more. A quick overview:

enaio® coLab with an updated design

enaio® coLab, the document sharing tool, has been modernized on the basis of Angular and equipped with a responsive design. Users can open and edit Office files directly in the application thanks to the integration of Microsoft 365. Improved file sharing functions facilitate collaboration, while new security features and backend optimizations ensure higher performance and security.

Version 11.10 now extends the integration of enaio® with Microsoft Teams so that files from Microsoft Teams can now be archived directly in the ECM solution, preventing important documents from getting lost in the multitude of chats and channels within Microsoft Teams. In addition, users benefit from the archiving platform’s extended security and compliance functions.

New account assignment tool

The new account assignment tool from enaio® optimizes the processing of structured data sets in tabular form and offers numerous features that improve efficiency in financial accounting. Users can flexibly adjust rows in tables, use dynamic catalog elements, and benefit from automatic totals adjustments. Comprehensive validation functions ensure a high level of data integrity. The tool saves time, reduces development costs, and offers a high degree of flexibility thanks to its connection to ERP systems such as Navision.

AI with enaio® kairos

enaio® kairos is an AI-based tool that makes the automation and acceleration of document and incoming mail processes more flexible. The solution enables automated, AI-supported and efficient categorization of incoming documents. Thanks to the pre-trained AI models from OPTIMAL SYSTEMS, document types and metadata are recognized automatically. These models can also be quickly retrained on a project-specific basis using customer-specific data. In this way, even greater accuracy can be achieved.

Two-factor authentication

The new version introduces two-factor authentication (2FA) in enaio®, which will significantly increase the security of the platform once again. Available in the client, this feature uses time-based one-time passwords (TOTP) and protects access even if credentials are compromised. 2FA prevents misuse through automatic logins via single sign-on (SSO) and offers flexibility by allowing user-specific configuration. It is easy to set up on mobile devices using an authenticator app.

The new ModalDialog-AddOn

The ModalDialog-AddOn from enaio® enables users to open individual modal dialogs directly from data forms and integrate them flexibly into various business processes. It allows the visual display and enrichment of data, which can then be saved back into the data form. The add-on reduces the amount effort to implement it, and it is accessible from all clients thanks to a common API for rich and web clients. It can also be seamlessly integrated into existing workflows and supports advanced visualizations and external data sources.

Multilingual workflows

Support for multilingual workflows and catalogs has been significantly expanded, which is particularly beneficial for companies in multilingual environments. Users can view field labels and catalog entries in their preferred language. The multilingual full-text search also makes it easier to search in different languages. These innovations simplify workflow modeling, as separate workflows for different languages are no longer required.
