Productive in minutes, easy to extend, ready for secure AI: with yuuvis® Apps, OPTIMAL SYSTEMS is bringing a new generation of ECM solutions to market.

CTO of OPTIMAL SYSTEMS
"With yuuvis® Apps, we're democratizing document management. Professional ECM is now possible even where companies used to fall back on network drives or cloud storage."
Document management has been around for decades, and OPTIMAL SYSTEMS has been helping shape it for 35 years. "The problems have stayed the same, or at least similar. But the way we solve them is changing," says CTO Dr. Nikola Milanovic, describing an ECM market in transition. That is exactly why yuuvis® Apps was built from the ground up.
yuuvis® Apps is a fully cloud-native platform. Companies do not need to provision servers, install software or plan capacity. "If a customer is interested in a test or production system, they can be up and running with yuuvis® Apps in a matter of minutes," says Milanovic.
The SaaS approach makes professional document management accessible to companies and use cases that have so far relied on network drives or cloud storage. The hurdles that used to come with project planning, procurement and installation disappear. Costs become predictable, and the burden on IT departments drops. "With yuuvis® Apps, we're democratizing document management," Milanovic sums up.
Instead of one interface for everything, there's a dedicated app for each business task. All apps access the same company data and can be added or removed as needed. Several Business Apps are available at launch:
Later this year, SAP customer and supplier records will follow, along with yuuvis® invoice for digital incoming invoice processing. More apps are planned for 2027.
The platform can be adapted to a company's processes: custom object types and metadata, customer-specific roles and permissions, workflows and forms – all without coding. Companies can also develop their own apps if needed. In addition, Business Modules can be added without any development work:
The technical foundation is yuuvis® Momentum – a platform that can import and index large volumes of documents and prepare them for AI. The optional kairos AI module already classifies documents automatically on upload and suggests suitable metadata.
Next on the roadmap is lumee, an AI assistant that lets users query documents in natural language. What sets it apart: lumee is built on the zero-trust principle. With every request, the user's access rights are checked for each document that could feed into the answer. If users do not have access to a document in the system, it does not exist for the AI either.
"The way we interact will change dramatically," Milanovic predicts. "Away from forms and hit lists, toward a conversation with the system."
yuuvis® Apps is operated exclusively in German data centers. OPTIMAL SYSTEMS is ISO/IEC 27001 certified for hosting, operating and supporting SaaS solutions. Audit-proof archiving and GDPR and GoBD compliance are an integral part of the platform – not optional, but by design.
