Internationally active Ship Manager uses enaio® as interface for fleet management

ZEABORN Ship Management is an internationally active Ship Manager with headquarters in Hamburg, a location in Singapore and further offices in Asia and Europe. The company employs around 3,800 staff ashore and at sea, managing around 130 ships for international ship owners. The service company’s portfolio includes the manning, technical management and operation of container and bulk carriers, multipurpose freighters, and oil and chemical tankers.

The young company ZEABORN Ship Management is the result of a merger of various Hamburg-based companies with a long tradition in merchant shipping. Within the framework of this merger, ZEABORN Ship Management took over the complete IT landscape of one of its predecessor organisations and extensively examined and subjected other system landscapes to a suitability test.

As a result of this process, Microsoft Dynamics NAV in combination with enaio®, for example, has established itself as the interface for document management. Since then, this interface has been continuously expanded and implemented throughout the new organization. The rollout was largely realised in-house with the company’s own IT department.

Global trade routes, global document management

International merchant shipping, by its very nature, is of huge dimensions: The diversified fleet under the management of ZEABORN Ship Management includes various types and sizes of dry and wet cargo ships and forms the backbone of global trade.

A globally operating shipping company naturally generates a large number of documents – invoices, inspection reports, certificates, etc. These must be available to employees at all locations worldwide at all times.

In addition, companies such as ZEABORN Ship Management have to comply with numerous standards and guidelines for a wide range of port calls and the respective country-specific transport requirements. This applies to all regulations in shipping: there are hundreds of different certificates for maintenance, operation and inspection, which must be made available to port agencies, classification societies and flag states – up-to-date, in the correct version, in the respective language and in the officially prescribed form. If a document is missing somewhere in the world, this can lead to delays, loss of earnings and longer periods of lay days. Digital access and availability to all documents is guaranteed by the software “Fleetmanager”, which is connected to the enaio® webclient.

Around 100,000 invoices

For international ship owners, ZEABORN Ship Management uses a customer portal developed in-house, the “Owner’s Deck”. Here, customers receive all relevant information and data at fleet and ship level. The integration of enaio® invoice processing and document management helps ZEABORN Ship Management to automate this process and offer its customers added value. Around 100,000 invoices are processed per year.

Thanks to digital document management, we can access everything globally at any time – whether in Hamburg, Singapore, Constanta or Limassol.
