Release of version enaio® 11.0: new functions for more efficient work

Berlin, June 30, 2023 – OPTIMAL SYSTEMS presents a comprehensive update for the document management system enaio®. The latest version 11.0 offers numerous improvements and new functions to further increase efficiency and user-friendliness. This time, among other things, the focus is on e-mail archiving, multilingual catalogs and accessibility.

E-mail management: Extension of the mail-archive service

With enaio® 11.0, the functional scope of the mail archive service has been expanded.

In addition to the mail journaling required for compliance reasons, the e-mails from the mailboxes accessible to users are also made available in the DMS. Of course, it is ensured that the respective users do not have access to other users’ e-mails. The information about the e-mails is enriched with data from the mailbox. This includes folders, categories and priority. Via a blacklist and whitelist for folders, users can fine-tune the scope of the transfer to the DMS.

Multilingual ECM: Introduction of multilingual catalogs

The introduction of multilingual catalogs in enaio® 11.0 simplifies the use of the ECM system in internationally active companies and companies with a multilingual workforce.

The entries of multilingual catalogs can be displayed and selected in the respective national language or the user’s native language. This improves collaboration and data exchange between (globally) distributed locations and makes working with the system easier. The multilingual catalogs are available in the enaio® client and enaio® webclient. Among other things, they enable the search of metadata in the language selected.

Hit list design: the new tile view

The enaio® webclient offers a new kind of user experience with the new tile view for hit lists.

This new view displays less information in the hit list. Instead, the important information is displayed clearly and thus facilitates the search as well as the identification of documents in the hit list. Users can choose between the table view and the tile view depending on their preferences and work requirements.

Accessibility: IT workstations without restrictions

OPTIMAL SYSTEMS is committed to the barrier-free development of the enaio® webclient in order to enable all people to use the system without restrictions. The aim is to improve usability and user experience for all users by complying with the German Barrier-Free Information Technology Ordinance (BITV 2.0), e.g. by optimizing readability, operability via keyboard, and by supporting screen readers.

In addition to these innovative new features, enaio® 11.0 offers further features such as the new enaio® USERS service for providing user information via API, a newly developed data transfer for Microsoft Word and improved security measures for document exchange via enaio® coLab.
