Solution: Extend SAP Information Lifecycle Management (ILM) with enaio®
SAP Information Lifecycle Management (ILM) is a solution for defining rules around the lifecycle of productive and archived data – from its creation to its retention or final deletion. The corresponding data is stored in an audit-proof manner on a WebDAV server to reduce the load on the database and for final data backup. Retention and deletion periods are defined directly from SAP.
enaio® supports both the provision and archiving of data stored in SAP with an additional document management system via an ILM-WebDAV interface.
enaio® ensures that the data stored in SAP is available in a structured manner and at the same time supports GDPR compliant storage. Using the ILM WebDAV interface, both applications can be directly linked via connectors.
This allows you to conveniently manage your data in SAP and as digital files in enaio® – and ensure that your documents are archived in compliance with data protection regulations and audit requirements.

In accordance with retention periods and legal holds, enaio® offers “deletion protection” to ensure that data is not lost.
With this module, SAP ILM allows the reduction of data sizes by outsourcing redundant data to an external storage system. As a consequence, in-house software systems are alleviated and a continuous performance is guaranteed. To enable integration with the other two components, Retention Management and ILM Retention Warehouse, the functionalities of the archiving system in SAP ILM were significantly upgraded.
Retention Management defines the complete lifecycle of a single data item. Various tools help to define end-of-life scenarios from data creation to final destruction based on relevant legal requirements.
This module is divided into the segments System Shutdown and Auditing / Reporting. During the system shutdown, the data is removed from the standard system and stored in an external storage system (here enaio®). For this, the well-established instruments for data archiving are used. Auditing / Reporting refers to the use or extraction of specific, archived data for auditing or reporting purposes after system shutdown.

enaio® manages the outsourced data packages as defined by the SAP guidelines. As a full-fledged archive solution, the ECM system offers the entire range of functions for audit-proof, GoBD-compliant and user-oriented storage of your documents.
At the same time, enaio® (together with SAP ILM) provides a deletion lock, which prevents the unintentional destruction of data while taking the defined retention periods into account. This feature is especially relevant for data that requires legal hold due to judicial procedures. With enaio®, the corresponding periods created in SAP can be extended even further.
OPTIMAL SYSTEMS was already able to cover almost 100% of the requirements. enaio® is an individually tailored solution for relevant company processes. Especially the SAP integration was a crucial factor in our decision-making process.
