Berlin, Germany, 2 October 2024 \u2013 OPTIMAL SYSTEMS presents a comprehensive update for enaio\u00ae, the company\u2019s document management system. Version 11.10 offers numerous improvements and new features to further increase efficiency and user-friendliness. In focus: the relaunch of our tried-and-tested document sharing tool, a new add-on for financial accounting, enhanced security features for enaio\u00ae, and much more. A quick overview:<\/strong><\/p>\n\n\n\n

enaio\u00ae coLab with an updated design <\/h2>\n\n\n\n

enaio\u00ae coLab, the document sharing tool, has been modernized on the basis of Angular and equipped with a responsive design. Users can open and edit Office files directly in the application thanks to the integration of Microsoft 365. Improved file sharing functions facilitate collaboration, while new security features and backend optimizations ensure higher performance and security.<\/p>\n\n\n\n

\u201cWe are placing a clear focus on efficiency, user-friendliness, and security with Version 11.10 of enaio\u00ae. The expanded enaio\u00ae features, such as integration with Microsoft Teams, the relaunched document sharing tool, and the introduction of two-factor authentication, offer our users even more flexibility and security in their day-to-day work.\u201d<\/p>\n<\/div>\n\n\n\n

Version 11.10 now extends the integration of enaio\u00ae with Microsoft Teams so that files from Microsoft Teams can now be archived directly in the ECM solution, preventing important documents from getting lost in the multitude of chats and channels within Microsoft Teams. In addition, users benefit from the archiving platform\u2019s extended security and compliance functions.<\/p>\n\n\n\n

New account assignment tool<\/h2>\n\n\n\n

The new account assignment tool from enaio\u00ae optimizes the processing of structured data sets in tabular form and offers numerous features that improve efficiency in financial accounting. Users can flexibly adjust rows in tables, use dynamic catalog elements, and benefit from automatic totals adjustments. Comprehensive validation functions ensure a high level of data integrity. The tool saves time, reduces development costs, and offers a high degree of flexibility thanks to its connection to ERP systems such as Navision.<\/p>\n\n\n\n

AI with enaio\u00ae kairos<\/h2>\n\n\n\n

enaio\u00ae kairos is an AI-based tool that makes the automation and acceleration of document and incoming mail processes more flexible. The solution enables automated, AI-supported and efficient categorization of incoming documents. Thanks to the pre-trained AI models from OPTIMAL SYSTEMS, document types and metadata are recognized automatically. These models can also be quickly retrained on a project-specific basis using customer-specific data. In this way, even greater accuracy can be achieved.<\/p>\n\n\n\n

Two-factor authentication<\/h2>\n\n\n\n

The new version introduces two-factor authentication (2FA) in enaio\u00ae, which will significantly increase the security of the platform once again. Available in the client, this feature uses time-based one-time passwords (TOTP) and protects access even if credentials are compromised. 2FA prevents misuse through automatic logins via single sign-on (SSO) and offers flexibility by allowing user-specific configuration. It is easy to set up on mobile devices using an authenticator app.<\/p>\n\n\n\n

The new ModalDialog-AddOn<\/h2>\n\n\n\n

The ModalDialog-AddOn from enaio\u00ae enables users to open individual modal dialogs directly from data forms and integrate them flexibly into various business processes. It allows the visual display and enrichment of data, which can then be saved back into the data form. The add-on reduces the amount effort to implement it, and it is accessible from all clients thanks to a common API for rich and web clients. It can also be seamlessly integrated into existing workflows and supports advanced visualizations and external data sources.<\/p>\n\n\n\n

Multilingual workflows<\/h2>\n\n\n\n

Support for multilingual workflows and catalogs has been significantly expanded, which is particularly beneficial for companies in multilingual environments. Users can view field labels and catalog entries in their preferred language. The multilingual full-text search also makes it easier to search in different languages. These innovations simplify workflow modeling, as separate workflows for different languages are no longer required.<\/p>\n\n\n\n
