Scanning scenarios with enaio®
With enaio®, documents can be captured in a variety of ways, depending on when or by whom the incoming mail is to be scanned:
Early, central capture
To digitalize large quantities of documents, the inbound mail in the mail room is often scanned centrally.
- All documents/correspondence are captured and indexed on the central server.
- The documents are then automatically classified by enaio® so that they can be stored in the correct record and/or passed to the responsible employee.
- Next, enaio® stores the electronic documents to make them available independently of the workstation. They can now be rapidly searched through, processed, distributed or incorporated in workflows.
- Invoice and posting data is compared with the data in the internal ERP systems.
Late, central capture
With late capture, following processing by a member of staff, the mail received is first digitalized at a specially designed workstation. This capture concept is preferable when no sudden changes are to be made to established business processes. Documents can be assigned via barcodes.
Simultaneous, decentralized capture
This scenario arises for example as part of direct customer management. Here, the bank employee at the service counter could insert the documents brought by the customer directly into the digital customer records in the presence of the customer. With its integrated scan function, enaio® provides a suitable tool for transferring documents directly to the ECM system.
